Information We Collect

• Contact and account information, including your name, email address, phone number, business name, and login credentials (or your Google account name and email if you sign in with Google).
• WhatsApp and Telegram details you link to the bookkeeping assistant, such as your verified WhatsApp number or Telegram chat ID.
• Business and financial information you submit, including transaction amounts, categories, dates, payment methods, counterparty names, stock and inventory records, and the original text of messages you send to the assistant.
• Voice notes you send to the assistant. These are transcribed to text so transactions can be recorded; the transcript is kept with the transaction.
• Subscription and payment records (plan, status, dates and payment reference). Card and bank details are handled directly by our payment providers, Paystack and Flutterwave; we never see or store them.
• Basic technical data such as browser type and cookies needed to keep you signed in, plus advertising cookies set by Google AdSense where you consent.

How We Use Your Information

We use the information we collect to:

• Provide the bookkeeping service: record, categorise and total your transactions, update your stock levels, and produce cashbooks, cash flow statements and profit and loss reports.
• Use automated tools, including AI, to read your messages and voice notes and turn them into transaction entries for you to review and confirm.
• Send service messages, including verification codes, transaction confirmations, daily logging reminders and weekly financial summaries via WhatsApp, Telegram or email.
• Process subscriptions, free trials and cancellations.
• Respond to enquiries and consultation bookings, improve our services, and keep the platform secure.

How We Share Your Information

We do not sell your personal information. We share it only with:

• Meta Platforms (WhatsApp) and Telegram, to deliver and receive messages as part of the bookkeeping service.
• Paystack and Flutterwave, to process subscription payments.
• Service providers that help us run the platform, such as hosting, database, email and AI processing providers, who must protect your data.
• Members of your own business account whom you invite, who can view and log records for that business.
• Legal or regulatory authorities, where required by law.

Data Storage and Security

• All communication between your device, our website, WhatsApp, Telegram and our payment providers uses encrypted (HTTPS/TLS) connections.
• Your data is stored on encrypted infrastructure operated by reputable providers.
• Access controls ensure each user can only see records belonging to their own account or business. Messages from WhatsApp or Telegram are only accepted from numbers and accounts you have verified.
• No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.

Your Rights

Under the Nigeria Data Protection Act 2023, you have the right to access, correct, download, or request deletion of your personal data, to withdraw consent, and to object to certain uses of it. You can unlink WhatsApp or Telegram at any time from your bookkeeping settings. To exercise any other right, contact us using the details below.

Data Retention

We keep your information while your account is active and as long as needed to provide our services. Financial records may be kept for up to six years to meet tax and accounting obligations, unless you ask us to delete them earlier where the law allows.

Children

Our services are intended for people aged 18 and over. We do not knowingly collect data from children.

Changes to This Policy

We may update this policy from time to time. We will post changes on this page with a new revision date, and notify account holders of significant changes.
